What you do:

Reporting to the Executive Director of English Radio in Toronto, you will plan, organize, coordinate and control all administrative and operational procedures, activities and documentation for the office of the Executive Director and the Chief of Staff for English Radio. You will also provide advice on policies and procedures related to operational and administrative activities. In addition, reporting to the Manager of International Sales and Awards, you will be responsible for coordinating the entry process for multiple international radio awards competitions.

80% of Key Responsibilities – Executive Assistant:

  • Establishes priorities, organizes and coordinates all work and activities related to the day-to-day administration of the office of the Executive Director. Directs the flow of information between departmental, corporate, network and regional management and staff of the media components, other support departments and external contracts.
  • Organizes the Executive Director and Chief of Staff’s time according to priorities and schedules and ensures he/she has the necessary background information and material and is properly briefed prior to meetings/appointments.
  • Arranges and coordinates facilities, material, equipment and services for departmental meetings, seminars and conferences, including preparation of written and visual material, agendas and minutes.
  • Coordinates major English Radio conferences, briefing sessions and meetings, takes minutes at meetings.
  • Follows-up with the Executive Director regarding the status of items requiring action.
  • Prepares and formats various ad-hoc correspondence, analyses and reports involving research, collection and compilation of data and documents, including those of a confidential or sensitive nature.
  • Ensures adherence to Corporate and HR policies, practices and collective agreements.
  • Arranges national and international travel and accommodation reservations for the Executive Director; books appointments and prepares detailed itineraries; calculates advances and settlements.
  • Arranges for approval of foreign travel, as necessary.
  • Coordinates visits by representatives of foreign broadcasting organizations and other dignitaries.

20% of Key Responsibilities – Radio Awards Coordinator:

  • Coordinate the entry process for international radio awards competitions.
  • Create and manage entry timeline, create call for entry postings, and assist with preparation of entries.
  • Liaise with Managing and Network Directors to encourage appropriate entries from each department.
  • Liaise with Festival Coordinator, English TV on combined entries and win announcements for the iO! Portal.
  • Track all Radio award wins. Prepare reports of Radio award wins for Board of Directors and Annual Report.
  • Ensure file remains within Radio award budget.

What you bring:

  • Educational background in Business and/or Office Administration.
  • At least 5 years of related executive administrative experience, preferably in a comparable organization.
  • Knowledge of the CBC organization and structure, and CBC English Radio.
  • Superior knowledge of various computer applications such as Word, Excel, PowerPoint, e-mail, etc.
  • Bilingualism would be considered an asset.
  • Must be able to exercise good judgment and work independently
  • Ability to communicate effectively (verbally and in writing) with all levels of Network staff and external contacts, on behalf of the Executive Director of English Radio.
  • Tact, diplomacy and sensitivity are required, particularly when dealing with confidential information.
  • Position requires the ability to handle multiple, sometimes conflicting, priorities, often within short periods of time with frequent interruptions and some pressure due to deadlines.
  • Accuracy and attention to detail are essential.
  • Excellent organizational and interpersonal skills.
  • Creativity is required in analyzing, organizing and formatting presentations, reports,
